Privacy Policy

A. Who we are

Plain Speak Pro is a web-based workplace communication application operated from British Columbia, Canada.

For privacy questions, access requests, correction requests and complaints, contact us at support@plainspeakpro.com.

Plain Speak Pro operates from British Columbia and is subject to British Columbia's Personal Information Protection Act (PIPA) where applicable. Canada's federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply to commercial personal-information flows that cross provincial or national borders. These are not the only laws that could apply to our activities.

B. Information we collect

Depending on how you use the service, Plain Speak Pro may process:

  • your account email address and authentication information
  • account and profile information, such as your plan and role
  • your timezone, which is used to set the daily reset time for Free-plan limits
  • text you submit for translation or analysis
  • contextual information you voluntarily enter into Decode My Boss
  • AI-generated responses
  • Saved translations
  • Translation History
  • feature and usage analytics
  • support communications
  • payment and subscription information once paid subscriptions launch

Plain Speak Pro does not receive or store full payment-card numbers. When paid subscriptions launch, payment information will be handled by Stripe, our payment processor.

C. Workplace content

Workplace messages you submit may contain personal, confidential or sensitive information. You should not submit:

  • confidential company information
  • privileged information
  • personal information about others
  • highly sensitive information

unless you have appropriate authority to do so. Plain Speak Pro should not be treated as a secure repository for confidential corporate records.

D. AI processing

Your text is sent to an AI service provider in order to generate translations and analysis. The current provider is OpenAI.

AI output should not be treated as completely private or confidential. Third-party providers process information according to their own contractual, privacy and security practices, which may differ from ours.

Current AI requests are sent with the provider's storage option disabled (store: false). This means Plain Speak Pro does not ask OpenAI to store the response object for later retrieval. It does not guarantee zero retention by OpenAI: OpenAI may retain limited information for security, abuse prevention or legal purposes according to its applicable API data-retention practices. Plain Speak Pro does not control those provider-side retention practices.

E. Microphone and audio

Voice input works like this:

  • microphone access occurs only after you grant permission in your browser
  • recorded audio is sent for speech-to-text transcription
  • Plain Speak Pro does not intentionally save the audio recording
  • the resulting transcript becomes ordinary text input
  • if you then run a translation, the transcript may appear in your History or Saved items in the same way as typed text

The current transcription provider is OpenAI.

F. Saved translations and History

Saved: translations you deliberately save remain until you delete them, or until they are removed as part of account or data deletion.

History: your History contains your original input and the AI output. History is capped at approximately the newest 100 entries per user, and older entries may be automatically removed.

Analytics does not contain your translated text. Analytics events are intended to track product and feature usage rather than the workplace content you paste.

G. Service providers

We currently rely on the following principal service providers:

  • Supabase — authentication, database, Edge Functions and backend services
  • OpenAI — AI translation/analysis and audio transcription
  • Base44 — application hosting and delivery
  • Microsoft 365 — customer support email
  • Stripe — payment and subscription processing when paid subscriptions launch

Service providers may process information outside Canada, and privacy laws in those jurisdictions may differ from Canadian law.

H. How we use information

We use information to:

  • provide and secure the service
  • authenticate accounts
  • generate AI outputs
  • provide the Saved and History features
  • enforce usage limits and subscriptions
  • provide customer support
  • diagnose reliability and security issues
  • understand feature usage
  • process subscriptions and payments when enabled
  • comply with legal requirements

I. Retention

Information is retained only for as long as reasonably necessary for operating the service, meeting legal obligations, maintaining security and meeting legitimate business needs.

Saved items remain until you delete them or until account or data deletion. History is limited as described in section F. You may request account or personal-data deletion through support.

J. Security

We use reasonable administrative and technical safeguards, including authentication and database access controls. However, no internet service can guarantee absolute security, and we do not claim that security is guaranteed.

K. Access, correction and deletion

You can contact support@plainspeakpro.com to request:

  • access to your personal information
  • correction of your personal information
  • deletion of your personal information
  • information about how your information is used or disclosed
  • a privacy complaint

Some information may need to be retained where retention is legally required; we do not promise deletion where such retention is required.

L. Cookies and local storage

Plain Speak Pro uses browser storage (localStorage) for functional purposes, such as remembering UI state and providing usage-limit feedback. We do not use advertising cookies.

M. Children

Plain Speak Pro is designed for workplace and professional communication and is not directed to children.

N. Changes to this policy

This Privacy Policy may be updated from time to time. When material revisions are made, the effective date at the top of this page will be changed.
